The offer is only suitable for persons over the age of 18 years.
The official congress language is English and no translation will be offered.
Congress Registration & Payment
Registration for the congress is only possible online via a link to the conference management & ticketing platform Converia at the congress website www.esic2017.eu.
At the website, the organizer offers a bid for the purchase of the congress participation. An interested applicant will accept the conditions set forth in this bid by completing the registration and going to "Checkout". Prerequisite for a successful registration is that all required information (indicated by *) was completed correctly.
Completion of the registration process and payment on the side of the participant, and a confirmation of the registration via email on the side of the organizer constitue a binding contract for both sides.
Participation numbers are limited. Registrations will be handeld in the order of their submission. In the event that the congress or any part of it is overbooked, the participant will be notified immediately.
Early Bird registration until January 28, 2017, 24:00 CET
Standard registration until May 28, 2017, 24:00 CET
Onsite registration from May 31, 2017.
Only fully completed registration forms will be accepted. The registration will only be confirmed upon receipt of payment in full as well as a proof of status if required (for students). Members of the Austrian SI organization GSIÖ qualify for reduced fees only if they hold an active membership and have paid their membership fee. Delegates have the possibility to register as a member of GSIÖ immediately before registering for the congress in order to qualify for he reduced congress fees. Registration and online payment via www.sensorische-integration.org.
To qualify for Early Bird fees, the organizer must have received all required registrations, fees and proofs prior to the deadline. Otherwise, the reduced registration fee will not be applicable and the regular registration fee will be charged.
The fee for the 2 Day Congress Pass includes admission to the Opening Ceremony, Scientific Sessions, and the Exhibition. The Pre-Congress Workshop, other educational workshops around the congress, and social program events are not included in the registration fee.
All registration and course fees are exempt of Austrian VAT.
Payment options are indicated on the registration website. All fees are due at the moment of competing the registration.
Payment with credit card (MasterCard, Visa) is offered. The applicant is required to enter the data of his credit card account. Fees may incur. In your statement, the purpose of the transaction will be indicated as: converia.de/ticketing Weimar DE
If the transaction is not possible (e.g. not enough funds in the account), the participant is esponsible to cover incurring bank costs and bank handling fees. The organizer will charge a handling fee of EUR 10,00 for each chargeback. In case of unjustified chargeback of the credit card, the organizer will charge a handling fee of EUR 50,00. In the case of failed transaction/chargeback, the organizer retains the right to step back from the contract.
Proof of Status
The reduced registration fee for occupational therapy students (OT) is only applicable to current students of a full-time, undergraduate professional education program in occupational therapy. As a proof of status, a copy or photo of the delegate's valid student ID for the current semester must be emailed to email@example.com.
Confirmation of Payment, Receipt/Invoice
After registration, a receipt is automatically created. You will find it in your account under "Documents".
Cancellation Policy / Refund Policy
Notification of cancellation must be made in writing and sent to firstname.lastname@example.org.
a) Cancellation earlier than 8 weeks before the start of the congress: refund of the registration fee minus a handling fee of 25%
b) Cancellation earlier than 4 weeks before the start of the congress: refund of the registration fee minus a handling fee of 50%
c) Cancellation later than 2 weeks before the start of the congress(May 18, 2017): no refund
In case of a severe illness or accident of the participant prio to the congress, the participant is eliglible to submit a doctor's confirmation of the inability to participate in the congress and to nominate an alternative participant. For changing the registration information the organizer will charge a handling fee of EUR 35,00.
Refunds will be made after the congress.
This cancellation policy also applies to the Pre-Congress Workshop and registration for social program events.
No refunds will be given for unattended sessions or early termination of attendance.
As mentioned below (please read "Visa Requirements" below), it is the sole responsibility of the participant to take care of his/her visa requirements. As an exeption, refunds will be made in case of a visa application rejection, provided that the visa application was filed in due time (before March 2017) and provided that a document from the Embassy is sent immediately after the rejection to the ESIC2017 General Secretary at email@example.com. These two conditions are cumulative. Please note that a notification sent to the congress administration after the congress will not be accepted.
Modification of the Program
The ESIC 2017 Scientific Committee reserves the right to modify the program which is published as an indication only.
Cancellation of the Conference
In the eventuality that ESIC 2017 cannot be held or has to be moved or changed due to any reason(s) beyond the organizer's control that prevent or substantially hinder the planned execution of the congress such as unforeseen political and economic events, national emergency, potential health risks, national mourning or any other event of "Force Majeure", the ESIC 2017 organizer cannot be held liable by participants for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, financial losses, etc. Under these circumstances, the ESIC 2017 organizer reserves the right to reimburse the registration fees after the deduction of costs already incurred for the organisation of the congress and which could not be recovered from third parties.
Letter of Invitation
Participants who require an official Letter of Invitation should contact the General Secretary at firstname.lastname@example.org. To receive a Letter of Invitation, participants must be fully registered to the congress and payment in full has to be submitted. The attention of the participants is drawn to the fact that the Letter of Invitation has to be requested sufficiently in advance and that the Letters of Invitation will not be sent after May 1, 2017. The Letter of Invitation does not financially obligate the congress organizer in any way. All expenses incurred in relation to the congress are the sole responsibility of the participant. Generally, Letters of Invitation will be sent as pdf documents via email. Should the delegate request a paper version of the document, any costs for mailing must be covered by the participant.

Families are welcome to stay in the congress hotel and occupy the public spaces. However, children under the age of 18 will not be allowed access to the ecture rooms, particularly not during Scientific Sessions.
The Scientific Sessions of the congress including the Pre-Congress Workshop are only accessible to registered professionals. Accompanying persons can participate in social program events such as the Gala Dinner and the Sightseeing Tour after registration and payment of the fee for accompanying persons. The exhibition area will be open to all delegates and accompanying persons.
Data Protection & Copyright
Interested parties can visit the congress website without leaving person-related data. Personal data are only required if the interested party intentionally takes action in order to use the services offered at the website such as registering for the congress, purchasing congress tickets, or requesting information.
The congress organizer may film, photograph or take television or video footage in public spaces during the congress.
By agreeing to these general terms & conditions, the congress participant agrees that any images in which she/he may appear may be used in relation to the promotion of the host organization and the ESIC conference series. The organizer and the official ESIC 2017 Registration PCO Converia periodically shares contact details of participants with third parties that may use these details to contact delegates regarding activities at the conference or other communications which may be of interest.
Data protection is warranted in accordance with the Austrian Data Protection Act.
Participants have the right to recall their agreement to publishing their name on the participants' list in writing (email to firstname.lastname@example.org).
Film, video, or audio recording and photographing by participants without written authorisation by the organizer is prohibited.
All lectures and presentations including the slides used for the presentation, the abstracts, and handouts are protected by copyright. Participants must only use them for their own personal use. Copying in whole or in part is prohibited and requires a written permisson of the congress organizer.
The congress organizer is not responsible for any bodily or material damage (including theft) sustained by participants during the congress, which is not directly the fault of the host. Each participant is responsible for his/her own insurance in such events.
Fulfilment & Jurisdiction
Any litigation stemming from the above general terms and conditions and contract will be tried in Vienna, Austria where the Austrian law is exclusively applicable.
